Sales Administrator

JOB DESCRIPTION
  • Providing email and telephone support for customers, direct sales staff and manufacturer’s representatives, and for coordination and communication with FEI-Zyfer’s internal staff;

  • Supporting product sales, product technical sales (on a limited basis), product availability and pricing, business and general inquiries, obtaining the necessary information from the customer and re-directing the inquires to the appropriate staff when necessary, and ensuring a response is provided to the inquirer on a timely basis;

  • Responding to order and repair (Returned Material Authorization) status and scheduling inquiries, resolving discrepancies with the customer and with internal staff, coordinating and expediting orders and repair items when needed;

  • Preparing quotes for new sales opportunities and assisting in proposal preparation as required and on a timely basis, to include gathering supporting information, processing the quotes through our ERP system and the quote log, and retrieving Requests for Quotation (RFQ) or Proposal (RFP) from online sites as required.

  • Update and maintain quote log, and run reports on quote activity, time to quote, products quoted and other statistics in support of weekly staff meeting;

  • Entering sales orders for new purchase orders and contracts received as required and on a timely basis;

  • Entering authorized repair orders as required and on a timely basis;

  • Processing paperwork and entering orders for demonstration/evaluation equipment, and for updating and maintaining inventory of demonstration equipment and supplies, to include inventory on-hand and demonstration equipment at customer and other sites;

  • Performing all customer service and administration responsibilities in accordance with the our ISO 9001 work instructions and processes;

  • Sending Customer Survey forms as directed to customer engineering, program and contracts staff, compile the results of surveys received in a spreadsheet, and prepare reports and graphs for review by management;

  • Providing weekly reports on Sales Administration activities as directed by close of business each Thursday, and updating status with any significant changes each Monday morning, in support of weekly staff meetings.

JOB REQUIREMENTS
The applicant MUST have the following qualifications:

  • Demonstrated ability to

    • Support sales staff, including manufacturer’s representatives and international distributors;

    • Prepare quotations and assist in the preparation of formal proposals;

    • Track departmental performance, and prepare weekly and monthly reports for management;

    • Work closely with Customers and assist in the preparation of Return Material Authorizations (RMA);

    • Track sales orders through the Manufacturing process;

  • Perform any related ad-hoc assignments as needed.

  • Ability to generate and maintain Supplier Representations and Certifications, including On-Line Representations and Certifications Application (ORCA), maintain a Central Contractor Registration (CCR), negotiate General Services Administration contracts and contract modifications, and maintain a GSA published price list.

  • Familiarity with government terms and conditions of contract (e.g., Federal Acquisition Regulation (FAR), Department of Defense FAR Supplement (DFARS) and related procedures.

  • Familiarity with Export Regulations, including International Traffic in Arms Regulations (ITAR) and Directorate of Defense Trade Controls (DDTC) export licensing and registration.

  • Detailed functional knowledge of Microsoft Office Suite 2007 or later (Word, Excel, Power Point and Outlook.)

  • 4 year degree (Bachelor of Science preferred) or equivalent cumulative experience in relevant occupation.

  • Excellent English skills verbal and written.

  • Ability to work with minimum supervision.

  • U.S. Citizenship is mandatory.

The WANTS for this position are:

  • Ability to assist with the development of marketing collateral materials, including datasheets and advertisements.

  • Working knowledge of Visual Enterprise Modules
